The data controller processes the personal data collected via the website, booking forms, contact forms and during the provision of our hot-air balloon flights.

Depending on the service booked, we may request: full name, nationality, date of birth where necessary, national identity card or passport where required for passenger identification or to comply with legal obligations, telephone number, email address, emergency contact details, body weight for safe flight planning, medical information or physical limitations voluntarily disclosed by the participant, booking details, payment information (processed via secure providers) and photographs or videos only with consent.

3. Purpose of the processing
Manage bookings and enquiries; organise and operate flights safely; identify passengers where necessary; prepare operational documentation; manage insurance; comply with obligations arising from aviation regulations; contact participants; deal with emergencies; improve the service; and use photographs or videos for promotional purposes only where express consent has been given.

4. Legal basis
The processing is based on the performance of the contract, compliance with legal obligations, the protection of vital interests relating to the safety of participants, and explicit consent where necessary, particularly in the case of health data and images.

5. Health-related data
As hot-air ballooning is an aeronautical activity, we may voluntarily request relevant medical information to ensure the participant’s safety. This information will be treated in the strictest confidence and accessed only by authorised staff or, if necessary, by medical or emergency services. It will never be used for commercial purposes.

6. Passenger identification
As a certified commercial hot-air balloon operator, we may ask for a valid identity document (national identity card or passport) in order to correctly identify passengers, arrange insurance, prepare operational documentation and comply with the requirements set out in aviation regulations or by the relevant authorities. We will only request this information when necessary.

7. Data disclosure
We do not sell or disclose personal data to third parties. Such data may only be disclosed, where necessary, to insurance companies, emergency medical services, the relevant authorities or service providers acting on our behalf under the relevant data processing agreements.

8. Photographs and videos
Photographs and videos may be taken during the event. These images will only be used for promotional purposes where the participant has given their express consent, which they may withdraw at any time.

9. Data retention
Personal data will be retained only for as long as is necessary to fulfil the purposes described or to comply with applicable legal obligations. Once this period has expired, the data will be securely deleted or anonymised.

10. Safety
Volartis implements appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure. Only authorised staff have access to customer information.
